Terms & Conditions

Asia Tour Deals is a local Destination Management Company (DMC) providing professional travel services across Vietnam, Laos, Cambodia, Myanmar, and Thailand. The following terms and conditions apply to all bookings made directly through Asia Tour Deals, either via our travel consultants or online platforms.

Please read these terms and conditions carefully. By requesting us to confirm your booking, you acknowledge that you have understood the details, specific requirements of your chosen itinerary and agree to be bound by these terms. In this document, references to “Asia Tour Deals,” “we,” “us,” or “our” refer to Asia Tour Deals. References to “you,” “your,” “client,” or “customer” refer to all individuals named in the booking (including any later additions or substitutions). Terms such as “tour,” “holiday,” “package,” “booking,” “contract,” or “arrangements” are used to describe your confirmed travel services unless otherwise stated.

These terms apply to all bookings confirmed through our consultants (by phone or email) as well as online bookings made through our official websites.

1. PRICING & SERVICES

Asia Tour Deals provides confidential pricing that is determined through in-depth market research, competitor comparisons, direct negotiations, and seasonal analysis for each destination. These rates are strictly for client use and must not be disclosed to third parties. Unless otherwise specified, all prices are quoted in USD, net, and non-commissionable.

The prices displayed on our website reflect the costs available at the time of publication. The base rate typically applies to groups of six or more guests, using 3-star accommodations, and traveling during the low season (May-September). Asia Tour Deals reserves the right to update published rates at any time before a booking is confirmed.

Certain hotels or service providers may require compliance with a Recommended Retail Price (RRP) or Suggested Selling Price (SSP). If applicable, this information will be communicated in advance.

Accommodation prices in our confidential tariffs are quoted per room, per night, and include relevant taxes and service charges unless otherwise noted. Tour and transfer prices are quoted per person on the same basis. Services outside of the tariff will be priced individually upon request.

Please note that many hotels in the region apply mandatory Gala Dinner surcharges during special occasions such as Christmas Eve, New Year’s Eve, or national festivals. When applicable, these additional costs will be advised and invoiced accordingly.

2. TAXES

All rates provided by Asia Tour Deals, unless otherwise stated, already include standard charges such as service fees, Value Added Tax (VAT), and other mandatory local taxes. However, certain levies like domestic tourism fees or airport taxes may not be part of the quoted price. These must be settled directly by the traveler with the respective authority.

If government regulations introduce changes to existing taxes, Asia Tour Deals reserves the right to revise prices accordingly. We will always aim to limit any additional costs, but when necessary, any extra charges will need to be covered by the client.

3. DEPOSIT & PAYMENT

To secure a booking, clients are required to pay a deposit equivalent to 30% of the total package price at the time of confirmation. This deposit is non-refundable but may be applied to a future trip if the booking is postponed, subject to amendment conditions or penalties. Payments can be made either by bank transfer or via a secure online credit card link provided by our consultants.

The outstanding balance of 70% must be settled no later than 14 days before the planned arrival date. For urgent or last-minute bookings, full payment will be required upfront.

In some cases, additional payments beyond the standard deposit or final settlement may apply depending on the nature of the services booked. Any such requirements will be clearly communicated on an individual basis.

Important Notes:

• For bookings with a total value under USD 600, full payment is required in advance.
• Pre-payment policies may vary during high or peak seasons, depending on hotel or supplier requirements. Specific details will be communicated at the time of booking.
• Some Mekong River Cruises (operating in Vietnam, Cambodia, and Laos), as well as river cruises in Myanmar, enforce a strict non-refundable policy. Any tours that include these services will follow the same conditions.
• Depending on flight fares or the overall package value, deposits higher than 30% may be requested.
• For large groups or high-value bookings, full payment may be required more than 30 days before arrival.
• All payments must be confirmed and validated by Asia Tour Deals. We are not responsible for errors caused by incorrect information provided by the client or third-party suppliers.
• If incorrect payment information is provided and amendments are required, we may request an alternative payment method (e.g., credit card or cash) to secure the booking. Failure to comply may result in cancellation of services.

3.1 Payment by Credit Card

Asia Tour Deals accepts Visa, MasterCard, and American Express. Our consultants will provide a secure SSL online payment link.

Please note: For payments made by Visa/MasterCard, a 3% convenience fee applies, and for American Express, a 4.5% fee applies. Since Asia Tour Deals is headquartered in Vietnam, some banks issuing international cards may also charge additional foreign transaction fees. These charges are applied by your bank, and Asia Tour Deals is not responsible for them.

3.2 Payment by Bank Transfer

Full bank transfer details will be provided by our travel consultants upon request.

4. CANCELLATION & REFUND

4.1 Cancellation by You

You are free to cancel your booking at any time, but the request must be submitted to Asia Tour Deals in writing. The cancellation will only be valid once we have received your written notice, and it will take effect from that date.

Please note that once deposits have been paid, they are non-refundable. Additional cancellation fees, as detailed below, will also apply. We strongly recommend that you purchase suitable travel insurance with cancellation coverage at the time of booking.

For groups of 1 to 8 people:

• More than 21 days before departure: The deposit (30% of the total tour value) will be retained as an administrative fee for pre-arranged services. Any remaining balance (if applicable) will be valid as a credit for one year (365 days) from the date the deposit was received. This credit can be applied to other tours or services during that time. After one year, the unused amount is forfeited.
• 7 to 21 days before departure: 50% of the total trip value will be charged.
• Within 1 to 6 days before departure: 100% of the total trip value will be charged.
• No-show: 100% of the total trip value will be charged.

For groups of more than 8 people:

• More than 60 days before departure: The deposit (30% of the total tour value) will be retained as an administrative fee for pre-arranged services. Any remaining balance (if applicable) will be valid as a credit for one year (365 days) from the date the deposit was received. This credit can be applied to other tours or services during that time. After one year, the unused amount is forfeited.
• 30 to 60 days before departure: Loss of deposit plus any administration fees.
• 15 to 29 days before departure: 50% of the total booking cost, or the deposit amount (whichever is higher), will be charged.
• Within 1 to 14 days before departure: 100% of the total booking cost will be charged.
• No-show: 100% of the total booking cost will be charged.

Additional Notes:

• Asia Tour Deals will make every effort to recover costs from suppliers and pass them on to the customer, but cancellation charges and fees cannot be waived.
• Certain arrangements (e.g., flights, rail tickets) may be non-amendable once confirmed. In such cases, any alteration or cancellation could result in a charge of up to 100% of that portion of the arrangements, in addition to the cancellation fees listed above.
• If one or more members of a group cancel, the per-person cost for those still traveling may increase, and the remaining travelers will be responsible for paying this difference.
• Other cases may apply depending on the actual booking conditions of suppliers. Our travel consultants will inform you if different terms are imposed.
• Tailor-made tours may be subject to alternative cancellation policies. Please consult with our travel consultants for specific details.

4.2 Cancellation or Modification by Us

Asia Tour Deals always aims to operate tours as advertised. However, because tours are planned months, changes or cancellations may occasionally be necessary. We reserve the right to modify or cancel your booking at any time and will notify you as soon as possible if this occurs.

In the event of a significant modification or cancellation, we will offer you one of the following alternatives, if possible:

• Services of an equivalent or similar standard (if available)
• Services of a lower standard, with a refund of the difference in price
• Full cancellation with a refund of all amounts paid

Once full payment has been made, Asia Tour Deals will only cancel your booking if circumstances beyond our control make it unavoidable. Should such circumstances occur, we will notify you immediately and offer the choice of equivalent services or a full refund of all monies paid. Please note that no additional compensation will be provided beyond the total amount received from you.

5. UNUSED SERVICES

No refunds or exchanges will be provided for any services included in the tour price that are not used by the traveler. This applies to accommodation, meals, sightseeing tours, transportation, or any other pre-arranged services.

6. PASSPORT

A valid passport is required at all times for travel to and from all countries where Asia Tour Deals operates. Specific passport validity requirements and other necessary travel documentation can be obtained from the respective embassy or consulate in your home country.

In most cases, passports must be valid for at least six months beyond the date of entry at a border checkpoint, airport, or seaport, and must contain at least two blank pages.

7. VISA

In addition to passport requirements, visas may be required for certain countries. Visas can be obtained either before departure in your country of residence or on arrival at immigration checkpoints or visa desks, depending on the regulations of each destination. Full details of visa requirements can be provided by your travel consultant or obtained directly from the relevant embassy or consulate.

It is essential to ensure the accuracy of your visa information, including entry date, visa type, full name (as it appears on your passport), passport number, date of birth, gender, and passport expiration date. Vietnam and other Southeast Asian countries generally require a passport valid for at least six months beyond your departure date, with at least two blank pages.

To avoid mistakes, we recommend sending us a copy of your passport and visa so we can help double-check the details. Obtaining a new visa at the last minute can be both costly and difficult, especially during weekends or public holidays, and in some cases, it may not be possible. If incorrect or incomplete visa information prevents you from boarding your flight, your trip may be postponed or canceled, and in such cases, full charges (non-refundable, no-show fees) will still apply.

8. TRAVEL INSURANCE

We strongly recommend that you obtain comprehensive travel insurance in your home country prior to and during your trip. Asia Tour Deals, along with our agents, suppliers, or business partners, cannot be held responsible for loss, damage, or theft of personal belongings.

9. HEALTH & SAFETY

At Asia Tour Deals, health and safety are top priorities in all of our services and product selections. Our guides will always encourage clients to follow safety regulations during any activities provided. We carefully evaluate and monitor hotels, restaurants, and other suppliers to ensure they meet our safety standards before recommending them to our clients.

Please note that Asia Tour Deals and its representatives are not liable for illness, injury, or death incurred during your trip, except in cases caused by our proven negligence. Similarly, we are not responsible for any loss of personal belongings that are not covered by insurance.

10. ACCOMMODATION

In many hotels and resorts within the region, the availability of standard triple rooms is limited. These are usually double or twin rooms with an additional rollaway bed, which may reduce overall space in the room. It is important that travelers are informed in advance to manage expectations. Rates for extra beds or triple-sharing arrangements are outlined in our confidential tariff.

Single room supplements are also specified in the confidential tariff. In most cases, single travelers will be accommodated in a double or twin room for sole use.

Special requests such as smoking or non-smoking preferences, connecting rooms, king-size beds, or specific room locations cannot be guaranteed prior to arrival. These are always subject to hotel policy and room availability at the time of check-in.

11. HOTEL RATING

While some hotels, guesthouses, or other accommodations in the region may provide information regarding their rating, the properties offered by Asia Tour Deals may not always hold an official star classification issued by a government-accredited hotel association in the country of operation.

Instead, Asia Tour Deals uses its own internal star rating system, based on our experience and specific criteria, to provide travelers with a guideline for comparison. Please note that we cannot be held responsible for any differences between our internal ratings and official government-issued classifications.

12. TOURS

Asia Tour Deals organizes sightseeing excursions and transportation as outlined in the contracted itinerary, always delivered professionally. Licensed guides are provided in English, Italian, Spanish, or other languages as requested to accompany travelers during tour programs.

Tours include entrance fees, meals (as specified in the program), and other inclusions clearly mentioned in the itinerary. Drinks are excluded unless otherwise stated.

All services provided by Asia Tour Deals, our staff, or our agents are carried out to the highest possible standards. Our licensed tour guides are responsible for demonstrating the use of safety equipment and highlighting any potential safety risks before activities begin.

13. TRANSFERS & TRANSPORTATION

Unless stated otherwise, Asia Tour Deals arranges transfers for each destination based on the rates shown in our tariff. Transfer services include a personal meet-and-greet with a name sign and transportation in line with your confirmed itinerary.

Whenever possible, we use vehicles under long-term contracts, including cars and coaches. All road and water transport is operated by fully licensed drivers or providers and adheres to local safety regulations. Vehicles are regularly serviced according to manufacturer guidelines, kept clean, insured, and properly registered. For water-based transport, a similar level of quality is ensured, and lifejackets are supplied for all passengers.

Travelers should be aware that transportation standards may vary across destinations. Nonetheless, Asia Tour Deals is committed to offering the best available means of transport in each area of operation.

Please note that Asia Tour Deals cannot be held responsible for missed connections involving transport services that were booked independently and not arranged through us.

14. SHOPPING & OTHER SERVICES

Shopping can be an enjoyable part of your journey, particularly in local markets and boutiques where inexpensive replicas of international brands are widely available. However, Asia Tour Deals, including our staff and employees, are neither qualified nor authorized to guarantee the quality or value of goods purchased, the reliability of retail outlets visited, or the security of credit card transactions.

All purchases and use of credit cards are entirely at your own risk, and travelers are expected to exercise personal judgment at all times. Any leisure activities or services undertaken during free time are also at the traveler’s own discretion.

15. COMPLAINS & CUSTOMER SERVICE

Asia Tour Deals has a dedicated Customer Care team to assist with any issues during your trip. We view complaints as constructive feedback that helps us improve our services.

Should any service concerns or problems arise, we request that you report them immediately to one of our representatives (such as your travel consultant or our Managing Director) during your stay so that we can resolve them promptly.

If complaints are not submitted in writing within 14 days of completing your tour, our ability to properly investigate and respond may be limited.

16. LICENSES & PERMITS

All Asia Tour Deals offices, along with our subcontracted suppliers and service providers, operate in compliance with the licensing and permit regulations required in each country where we provide services.

17. FORCE MAJEURE

Neither party shall be held in default of its obligations under this agreement if performance is delayed or prevented due to circumstances beyond reasonable control. These may include, but are not limited to, natural disasters, acts of God, supplier bankruptcy, strikes or other labor disputes, acts of war, civil unrest, or other comparable events.

18. LEGAL NOTE

This agreement is governed by, and shall be interpreted in accordance with, the laws of Vietnam (and/or applicable laws in the country where the company is legally represented). Any disputes arising under this agreement will be submitted to arbitration in line with the Arbitration Rules of the relevant Arbitration Institute, under the Office of the Judiciary applicable at the time of submission. The arbitration process will be conducted under the authority of that specific Arbitration Institute.

19. LIABILITY

Asia Tour Deals acts solely as an intermediary between airlines, hotels, local tourist offices, and other service providers. As such, we reserve the right to adjust or modify tours and itineraries with or without prior notice.

Because tours are organized in coordination with scheduled flights operated by partner airlines, all itineraries and timetables remain provisional and are subject to change without notice. By participating in services provided by Asia Tour Deals, clients acknowledge and accept these conditions.

20. VALIDITY

These Terms and Conditions are valid as of the date of publication but are subject to change without prior notice. Should any updates or modifications occur, they will be published immediately on the official Asia Tour Deals website.
